Cancellation & Refund Policy

Plans change. The scale below is the whole of it — how much notice you give decides what is retained, and there are no charges beyond the ones written here.

How to cancel

Cancel in writing — email rajtravelsconnect@gmail.com, or WhatsApp from the number the booking was made on. A phone call on its own is not a cancellation. The date your written notice reaches us is the date we work from, so send it before you ring.

Cancellation charges

Charged as a percentage of the tour cost of the travellers being cancelled, counted in days before the departure date:

Registration charges sit outside this scale and are not refundable in any band. Unused hotel nights, meals or sightseeing on a trip you leave early are not refundable either.

What is never refundable

  • Registration charges.
  • Air, train and bus tickets, and helicopter tickets, once issued. We refund only what the airline, the railway or the operator refunds to us, less their charges.
  • Yatra registration fees, permits, e-pass charges and temple or monument entry fees once paid to the authority.
  • Hotel nights booked on advance-purchase or non-refundable rates — common on Char Dham opening dates, New Year, Diwali and long weekends. When a booking of yours carries these, it is written on your invoice before you pay.

Dropping travellers, changing dates

  • Removing travellers from a confirmed booking is a cancellation for those travellers and is charged at the band above. The travellers who remain may move to a higher per-person rate, because room sharing changes.
  • One date change is free if you ask 30 days or more before departure, subject to availability on the new date; any supplier charge it creates is passed on at cost. After that, and for a second change, the cancellation bands apply.
  • Moving a booking to a different tour is treated as a date change if the tour cost is the same or higher, and as a cancellation if it is lower.

If we cancel

  • A group departure that does not reach its minimum number is called off at least 7 days before the start date. You choose: another date, a credit note, or a full refund of everything you paid — registration charges included.
  • If we cancel for any other reason of ours, the refund is full. That is the one case where nothing at all is retained.

Weather, closures and government orders

  • When a sightseeing point, an activity or a shrine is closed by snow, rain, landslide, a temple authority or an official order, we substitute what we can on the day. There is no refund for a point that could not be visited.
  • If a trip cannot start, or has to be cut short, everything the hotels, transporters and ticketing suppliers refund to us is passed to you in full, and our own service charge is issued to you as a credit note rather than kept.
  • Extra costs during a disruption — additional nights, meals, a re-routed ticket, an evacuation — are the traveller's.

Credit notes

  • Valid for 365 days from the date of issue, on any Raj Travels tour, for the same number of travellers.
  • Transferable to immediate family. Any difference in tour cost is payable when you use it.
  • Not encashable and not extendable beyond 365 days.

How refunds are paid

  • Refunds go back to the account the payment came from, within 7 to 10 working days of the amount being agreed in writing.
  • Where the refund depends on an airline, a railway or a helicopter operator, it takes as long as they take. We tell you what we have claimed and pass on what arrives.
  • Bank and payment-gateway charges already incurred on the original payment are not refundable.
