Booking Terms & Conditions
These are the terms every Raj Travels booking runs on. Plain reading: the tour page tells you what is included, this page tells you what is expected of us and of you, and the desk in Jaipur will explain any line of it over the phone.

Making a booking
A booking exists once we have your advance and you have a written confirmation from us — on WhatsApp or email — naming the tour, the dates, the number of travellers and the amount paid. A verbal hold is not a booking.
- An advance of 25% of the tour cost per traveller confirms seats and rooms. The balance is due at least 7 days before departure.
- Registration charges are non-refundable and cannot be moved to another person or another date.
- Quoted rates are per person on the dates quoted and hold for 7 days from the quote. Peak dates, festivals and long weekends are priced separately.
- Give us each traveller's name exactly as it appears on their photo ID. Corrections after tickets and hotel vouchers are issued may carry supplier charges.
Payment
- Full payment must reach us 7 days before the trip begins. Seats held against unpaid balances can be released, and that is treated as a cancellation under the Cancellation & Refund Policy.
- We take payment at the Jaipur office, or by UPI or bank transfer to the account printed on your invoice. Never pay into an account that is not named on a Raj Travels invoice — call the desk and check first.
- Taxes are charged at the rate applicable on the date of invoice. If a statutory rate changes before departure, the difference is payable.
- Add-ons booked during the trip — a helicopter ticket, an extra night, a pony or palki, an entry fee — are settled before the trip ends.
What the price covers
Each tour page carries its own inclusions and exclusions list, and that list governs the booking. If something is not on it, it is not in the price.
Commonly excluded: airfare and train fare unless the tour says otherwise, monument and temple entry fees, camera charges, pony, palki and helicopter charges, adventure activities, room heaters, laundry, telephone bills, tips, anything of a personal nature, and any cost arising from a delay outside our control.
Hotels
- You are booked into the hotel category named on the tour page. Named hotels are indicative — if a hotel is full, shut or unsuitable we substitute one of the same category and tell you.
- Standard check-in is 12 noon and check-out is 10 a.m. unless the hotel says otherwise. Early check-in and late check-out depend on availability and are never guaranteed.
- Triple sharing usually means a mattress or a rollaway bed in a double room. That is how hills hotels are built, not a downgrade.
- Many hill hotels have no lift, no air conditioning and charge for room heaters. Power cuts and water timings in the mountains are normal.
Vehicles and travel
- The vehicle runs the itinerary. It is not at your personal disposal and does not make unscheduled trips.
- On group departures, seats are allotted by us. Requests are noted, not promised.
- Air conditioning is switched off on hill climbs. This is how the engine is protected on a gradient, and it is not a fault.
- Group tours leave at a fixed time. You get two reminder calls before departure. Miss the departure and there is no refund — joining the group later is at your own cost.
- Landslides, snow, road closures, traffic, strikes and VIP movement change timings. We may re-sequence the itinerary or drop a sightseeing point to keep the trip safe and on schedule, and no refund is due for a point dropped this way.
- No smoking, alcohol or drugs inside the vehicle, and no asking the driver to stop for them.
Yatra and high-altitude travel
Char Dham, Do Dham, Kedarnath, Amarnath, Adi Kailash and Vaishno Devi trips run under rules the state and the shrine boards set, and those rules change from season to season.
- Yatra registration, e-passes and health screening are compulsory where the state requires them. We complete the registration on your behalf from the details you give us — wrong details mean a refused pass.
- Carry original photo ID for every traveller. Check posts on the yatra routes turn people back without it.
- Trekking, pony, palki, dandi and helicopter transfers are add-ons at actual cost, subject to permission, weather and availability. Helicopter tickets are non-refundable once issued.
- Darshan queues and timings are controlled by the temple authorities. We can get you there on the day; we cannot promise a darshan slot, a VIP darshan or a time.
- Above 2,500 m, declare any heart, lung or blood-pressure condition, any recent surgery and any pregnancy before you book, and carry your prescribed medicines. Ladakh and Spiti itineraries include acclimatisation days that cannot be skipped.
- Inner Line Permits for Ladakh, Spiti and border areas need original ID. Permit rules for foreign nationals differ and the administration can refuse a permit for reasons that are not ours.
Documents
- Every traveller carries an original government photo ID — Aadhaar, passport, driving licence or voter ID. Hotels, airlines and check posts all ask for it.
- Foreign nationals carry a passport and a valid Indian visa, plus permits where the route needs them.
- If a traveller is refused boarding, a hotel room, a permit or entry because a document is missing, expired or does not match the booking, the cost of that is theirs and no refund is due.
Conduct on tour
- Behaviour that endangers other travellers, the driver or the vehicle ends the trip for that traveller on the spot. There is no refund and the journey home is at their own cost.
- Respect temple and monastery rules on dress, footwear, photography and silence. Some of our routes are places of worship first and sightseeing second.
- Children travel under the care of the adults with them at all times.
- Keep to the timings given by the tour manager. A group of twenty cannot wait on one.
- Covid or other health advisories in force at the time of travel apply to the whole group.
Belongings, risk and insurance
- Luggage, cash, phones, jewellery and documents remain your responsibility throughout — in the vehicle, in the hotel and outside it. We do not compensate theft, loss or damage.
- Rafting, paragliding, skiing, trekking, camel and pony rides, water sports and every other adventure activity — whether we arranged it or you booked it on the spot — is at your own risk and runs under the operator's own rules and waivers.
- We are not a medical service. Take travel and medical insurance before you leave; on high-altitude and yatra routes we strongly recommend it.
Photographs
We photograph groups on tour and may use those photographs on this website, on Instagram or on Facebook. Tell your tour manager at the start of the trip, or write to us afterwards, and we will keep you out of the frame or take the picture down.
Things outside our control
Weather, landslide, snow, flood, earthquake, strike, bandh, curfew, government order, temple closure, epidemic, accident, road or airport closure, a cancelled flight or train, or a supplier who overbooks.
- When one of these hits, we arrange the best alternative available on the day. Any extra cost it creates — an unplanned hotel night, a longer road route, a re-booked ticket, extra meals — is payable by the traveller.
- Cancellations in these situations are settled under the Cancellation & Refund Policy, not under this clause.
- If fuel, tolls, taxes or supplier rates move enough to change your tour cost by more than 10% before departure, we tell you. You may then cancel and take back everything you have paid apart from registration charges.
If something goes wrong
Tell the tour manager or ring the desk while you are still on the trip. A hotel we can change on the day is easy to fix; the same complaint a month later is not.
Written complaints reach us at rajtravelsconnect@gmail.com within 15 days of the trip ending, with your booking reference and whatever photographs or bills support it. We reply within 15 working days.
Agency and jurisdiction
For hotels, airlines, railways, transporters, guides and activity operators we act as a booking agent. Their services run under their own terms, and their failure is not our liability beyond what we can recover from them for you.
These terms are governed by Indian law. Courts at Jaipur, Rajasthan have exclusive jurisdiction over any dispute arising from a booking.
